Vacant position: Executive Secretary to the Malaysian Society of Radiologists/College of Radiology, Academy of Medicine of Malaysia

Role Summary:
The Executive Secretary serves as the key administrative support for the College, ensuring efficient coordination of meetings, correspondence, event planning, and membership management. The role demands excellent organisational skills, attention to detail, and the ability to handle multiple responsibilities while maintaining confidentiality and professionalism.

Key Responsibilities:

  1. Administrative Support:
    • Serve as the main point of contact for correspondence, inquiries, and office management.
    • Organize and schedule meetings, appointments, and events, including preparing agendas and minutes.
    • Maintain effective filing systems and records for data integrity and confidentiality.
  2. Event Coordination:
    • Plan and manage logistics for annual general meetings, convocation ceremonies, scientific meetings, and other events.
    • Coordinate with hotels, vendors, and partners for seamless event execution.
    • Coordinate with MMA regarding CPD points for Webinars
  3. Membership Management:
    • Oversee membership applications, renewals, and database updates.
    • Ensure accurate processing and communication with members via social media such as Society Whatsapp.
  4. Financial Functions:
    • Facilitate  coordination with our Tax accountant and  Finance Accountants
    • Coordinate banking needs and payment as and when required
    • Coordinate and facilitate claims
    • Coordinate LHDN payments as required
  5. Publications and Communication:
    • Coordinate newsletters, journals, and official publications.
    • Proofread and format materials for professional presentation.
  6. Stakeholder Collaboration:
    • Liaise with relevant local and international organizations to foster partnerships.
    • Maintain correspondence with regulatory bodies and professional societies.
    • Maintain good standing and status of Society by fulfilling requirements by the Registrar of Society (ROS)

Qualifications and Skills:

  • Diploma or Bachelor’s degree in Business Administration, Secretariat Studies, or equivalent.
  • Proven administrative experience (5+ years preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Proficiency in handling Zoom meeting
  • Strong communication, organisational, and interpersonal skills.
  • Ability to manage multiple priorities under tight deadlines.
  • Ability to update on the latest IT requirements

Preferred Attributes:

  • Experience in coordinating with professional associations or healthcare organisations.
  • Familiarity with membership databases and publication processes.
